Job Description

Our client, a boutique CPA firm based in St. Petersburg, is seeking a highly organized and client-focused Client Services & Bookkeeping Coordinator to join their team. This role blends administrative support, client onboarding, and hands-on bookkeeping responsibilities, making it ideal for someone who enjoys both client interaction and working directly with financial data.

This individual will play a key role in maintaining accurate financial records, supporting tax workflow processes, and ensuring a seamless experience for clients from onboarding through ongoing engagement. The position is instrumental in keeping day-to-day operations running smoothly while delivering a high standard of service.

The schedule for this role is M-F 9am to 1pm with opportunity for full time hours during busier times of the year.


Key Responsibilities

  • Act as a welcoming presence for clients and visitors, assisting with front desk responsibilities and handling incoming calls with professionalism
  • Coordinate new client setup, including gathering financial information, organizing documentation, and initiating engagement processes
  • Perform routine bookkeeping functions using QuickBooks, including data entry, transaction coding, and maintenance of accurate financial records
  • Assist in preparing and organizing financial data and workpapers to support tax return preparation and accounting services
  • Manage and track tax return processing workflows, ensuring documentation is complete and deadlines are met
  • Reconcile basic financial accounts and identify discrepancies for follow-up
  • Maintain well-organized digital and physical files to support efficient client service and compliance standards
  • Schedule client meetings, manage calendars, and coordinate internal and external communications
  • Provide responsive support via phone, email, and in person to address client questions and needs
  • Monitor incoming requests and ensure timely resolution or escalation within the firm
  • Support general office operations, including maintaining supplies, organizing shared spaces, and assisting with administrative projects
  • Prepare correspondence, proofread documents, and assist with ongoing client communication efforts
  • Build positive, professional relationships with clients to enhance long-term engagement and satisfaction

Qualifications

  • 2+ years of experience in bookkeeping, accounting support, or administrative roles
  • Hands-on experience with QuickBooks or other bookkeeping software strongly preferred
  • Prior experience in a CPA firm or public accounting environment is highly desirable
  • Solid understanding of basic accounting concepts and financial recordkeeping
  • Strong attention to detail with the ability to manage multiple priorities efficiently
  • Comfortable working with Microsoft Office (Word, Excel, Outlook) and learning new systems
  • Excellent communication and interpersonal skills with a client-first attitude
  • Self-motivated, dependable, and able to work both independently and as part of a team
  • Associate's degree in Accounting or related field required; Bachelor's degree preferred
